Privacy of personal information is an important principle to the not-for-profit South Wellington Coin Society (SWCS). We are committed to collecting and using personal information responsibly and only to the extent necessary for providing membership services. We endeavor to be open and transparent as to how we handle personal information. SWCS is a member of the Royal Canadian Numismatic Association (RCNA) and the Ontario Numismatic Association (ONA) and we may share information with them when working on joint adventures (education seminars, numismatic shows and conventions, education and display days, joint meetings). This document describes our privacy policies.

What is Considered Personal Information?

Personal information is information about an identifiable individual. Personal information includes information that relates to their personal characteristics (e.g., gender, age, income, ethnic background, family status). Your privacy is very important to us and we are committed to safeguarding your information. We do not, and will not, sell or rent your personal information to other organizations, associations, or businesses.

Who is South Wellington Coin Society?

We are not-for-profit Canadian social and education club that continues to evolve within the Numismatic Hobby. SWCS was founded in 1997 with the emphasis on advancing the education of numismatics. Currently we hold membership meetings, education and display days, numismatic shows, numismatic outings, executive meetings, and community events (such as food drives) in the Village of Rockwood, City of Guelph, and other parts of the Eramosa Township and Wellington County. We are constantly improving by refining our services, systems and educational resources to offer the flexibility to meet our members’ challenges and evolving needs.

Like most hobby clubs, we collect and use personal information in order to serve our members. Examples of the type of personal information we collect for those purposes include your name, postal and delivery addresses, telephone number, e-mail address, fax numbers, cell phone number, numismatic memberships, and numismatic hobby preferences.

All personal information SWCS retains adheres to our Privacy Policy. By establishing an membership with SWCS you consent to the collection, use and disclosure of your personal information by SWCS.  We may e-mail you if we have the appropriate consent, and we may set you up with a user account so you may access our secured members only web pages.

Social Media

If you choose to communicate with SWCS via social networking (Facebook, Twitter, LinkedIn, You Tube etc.) you should be aware that personally identifiable information you submit through these medians can be read, collected and used by anyone with access to the forum or who visits the social networking page where the comment or post is posted. SWCS is not responsible for non-SWCS use of this information.

Release Without Consent

In most cases, we will not release your information without your consent. However we must provide information in response to a valid demand, search warrant, subpoena or court order based upon a request by a government institution or where otherwise required by law.

Retention and Destruction of Personal Information

We need to retain personal information for some time to ensure that we can answer any questions you might have about the services provided and for our own accountability to external regulatory bodies. We keep your personal information for an appropriate period to meet legislative requirements, and for historical archival needs, after your membership has been closed.

You Can Look at Your Information

As you are the person completing the membership and membership renewal forms, and event registrations, you voluntarily provide this information and are aware of the information you have provided us. Although we keep the current year’s forms, we cannot confirm additional years will be available for viewing. If you wish to see the forms you have filed with the society, you may contact the Membership leader with your request.

Website

SWCS collects the IP address and other related information of all visitors, such as page visits, browser type, operating system, and average time spent on websites. We use this data to monitor and improve our websites. Like many organizations, SWCSmay also use cookies. Cookies is a small text file that is transferred from a website through your web browser to the cookies folder on your computer. When you visit our site, the cookie tells us whether you have visited us before. The cookie does not track any personal information and the cookie does not share any information about your computer or files. SWCS may employ the use of cookies to show you internet based event and membership promotions.

Google Analytics

We use "Google Analytics" to collect information about use of this site. Google Analytics collects information such as how often users visit this site, what pages they visit when they do so, and what other sites they used prior to coming to this site. We use the information we get from Google Analytics only to improve this site.
